Time Management – Power Hour

Try my Power Hour Strategy. This strategy alone had helped me to be extra efficient and more productive in my work. I learnt this strategy from one of my coaches. This strategy if applied regularly with discipline will help you work “ON” your business and would help you finish your tasks faster and you will see the results almost instantly.
I started with just 1 hour of Power hour daily and within a week I was doing 4 Power hours in a day.
So this is how it works:
1. Create a List of Money making tasks that you must do to build your business. If you do not know about Money making tasks – go and read this blog – Protect Your Time
2. Decide on a Time everyday for your Power Hour. In my case, I decided to do it Monday to Friday everyday from 8:00 AM to 9:00 AM, before my staff arrived for work. This way there was no interruption, no phone calls and no emails.
3. Just before I started, I would ensure the following:
a) I knew exactly 1 thing I would work on.
b) My PC was switched OFF.
c) My Phone was switched OFF.
d) My staff was instructed to not disturb on knock on my door if my door is closed.
e) My cabin door was closed and I would put a Red Cone outside my door.
f) Put an alarm for 60 minutes from the start of my Power Hour.
4. The first couple of days, it was hard as my mind would wonder off and I would lose my focus. That will happen, but you need to keep on it. It takes 21 days to change a habit.
5. After 2-3 days, you will be more focused. If you can’t focus, try focusing on a dot on a paper or white board. Close your eyes and tell yourself – “This exercise is for the Good of my Family and my Business. Failure is not an Option”. Repeat it again and again….as much as you can.
6. Once you start getting your Focus, work on 1 Money making Task everyday. For example:
a) Marketing – rewrite your brochure, look at your website, look at your key numbers like # of Leads per day/per week/ per month, # of conversions, Profit per week/per month, Expense list, cost of staff, list of top clients etc.
b) Sales – How effective is your sales script, create 5 different Sales scripts and do A/B Testing, if you have a sales person – look at their KPIs, recreate KPIs, look at the amount of Leads and Conversions they are bringing every day/ every week / every month. If they are low on their numbers, recreate their KPIs, targets etc. Do you really need them? Are you losing money on them? I will discuss the best way to handle your Sales staff in another Blog.
c) Website and Social Media – How effective is your website and social media? How many leads are you getting from your website, your Facebook, Instagram, YouTube etc. Where are you placed in Google Search for your Keywords? How is each Keyword performing? Are they the right keywords for you? How many Prospects are visiting your website, how long do they stay on the site, each page, how do you know?
d) Innovation – If you sell a Product, what next new innovation can you bring to your Product? If you sell a Service, what else can you do to create a differential to your service so that it becomes a no brainer for clients to choose you over your competitors?
e) Expenses – Power hour is a great time to go through all your company expenses and see where you can save or cut costs. When I am hired by a business, this is 1 think I do in the first 5 days. I have saved thousands of dollars just doing this exercise with my clients. Go through your Credit Card Statement, your General Ledger and Profit and Loss Statements. One thing I do even personally is that every year I renegotiate deals with my Service Providers. It’s amazing how they do not want to lose your business and would bend backwards to give you better deals.
f) Staff Expenses – The biggest expense for any business is Staff expenses including Salaries. Start by having a monthly list of Staff Expenses including Salaries, Staff Office Expenses, Work Cover, Super, Holiday Pay etc. Calculate the cost of each employee per hour. Then analyse how much is each employee earning for you. I always used to measure this with W3 Rule ( See blogs for more on W2 and W3 Rules)
These are some of the few tasks that you can work on everyday. As you will start finding savings in your business through the tasks that you performed in Power Hour, you will not only see the value of Power Hour but you will also start increasing the time of your Power Hours.
